About Cape Management
Cape
Management's sole function is managing community associations.
There is quite a lot involved with this function. We are not
affiliated with sales or rentals and have found that our clients
appreciate our sole concentration on their association. We do not
have to worry about compromising our standards in order to keep a
rental or sales contract from being canceled.
Cape Management,
in business since 1989, manages a number of condominiums and
subdivisions on the Outer Banks. We continually look for ways to
save our customers money. Our philosophy is "the better your look,
the happier you will be and the longer we will be working for you".
We are service oriented and do not take the responsibility of
managing your investment lightly.
Cape
Management's office is located just north of the Clarion Hotel, at
1410 S. Virginia Dare Trail in Kill Devil Hills. Our office hours
are Monday through Friday 8:30-12:00 and 1:00-4:30; Saturday by
appointment. Our phones are answered 24 hours a day, 7 days a
week. When the office is not open for business, our phones are
answered by our voice mail service. In the event of an emergency,
you will be advised how to reach our "Manager-on-Call" for immediate
attention. All other calls are handled on the next business day.
Cape Management handles the
management of your association’s financial and community functions.
This includes collecting association dues, paying bills and
providing financial information to the owners. We secure the
association’s insurance and maintain the association’s official
corporate records. We coordinate the association meetings as well
as prepare and distribute minutes. We believe in active
communication with the owners and distribute information to assist
in the education of various responsibilities involved with
membership in a community association. We help the owners and board
decipher the association documents. We assist the Board in adopting
rules and regulations to make the association run smoother. We are
there to take care of the association’s administrative
responsibilities so that you may enjoy your investment.
Cape Management
is solely owned and operated by the "Pain" family. You will work
directly with a certified association manager. Using the parameters
set out in the management contract, Cape Management will insure that
your funds are being handled and invested properly. You will
receive detailed financial information throughout the year. At the
end of each year Cape Management will prepare a proposed annual
budget for the following year. Once it has been approved, your
association manager will work towards holding the expenses within
this budget.
Our goal is to
guide your Association toward solid financial stability. Cape
Management has invested in an excellent computer program that is
specially equipped to handle homeowners associations. For your
convenience, our system will allow us to automatically debit your
association dues directly from your checking account. All drafts are
initiated from Cape Management's office.
Cape Management
handles a variety of accounting functions including depositing all
incoming checks, processing bi-weekly (approved) disbursements,
balancing bank statements, mailing late letters and filing any
necessary liens on delinquent accounts. Throughout the day, Cape
Management’s staff handle a multitude of tasks such as issuing work
orders, providing information, answering e-mails and coordinating
the many facets of our office. In the event you have an emergency
after hours, our "After Hours Contact" will find a way to help you
as quickly as possible.
Throughout the
year the maintenance staff regularly inspects the property and takes
care of any needed repairs. We are believers in preventative
maintenance and making sure that the property retains its value by
continually keeping it in great shape. We will suggest needed
improvements, research prices and make suggestions on how to operate
your property smoothly and efficiently. We have an excellent
organization of subcontractors at our disposal. Many of our
contractors work solely for Cape Management due to the quantity of
business we provide. This enables us to negotiate the best possible
price for the Association.
We inspect the
property regularly and ensure that all work is being completed, as
it should be. Only through active supervision can you ensure that
you are getting what you pay for.
Cape Management is fully insured and
maintains fidelity bond coverage of $500,000 as added protection for
its clients. We maintain $2,000,000 in liability coverage as well
as a $1,000,000 Errors and Omissions policy.
Our maintenance
division is also fully insured, bonded and licensed with the State
of North Carolina's General Contracting Board. We spend a lot of
time keeping up with new state and local regulations that change
regularly.
Cape Management
charges a set monthly fee for its accounting and supervisory
services. Cape Management, on behalf of the Association,
subcontracts other services such as general and grounds maintenance,
pool maintenance and septic maintenance. The Association pays the
contractor directly without additional fees being added by Cape
Management. We feel this allows the Association to budget for the
administrative end without having additional fees added to the
maintenance costs. Cape Management is available for additional
services on request; prices are negotiable depending on the desired
service.
